Privacy Policy

This Privacy Policy explains how personal data is handled on TopGuilds, the public Discord server directory at https://topguilds.net, its owner dashboard and the TopGuilds commands of the BotGG bot ("TopGuilds").

TopGuilds is part of the BotGG service and shares BotGG's database, billing and Discord sign-in. This policy covers what is specific to TopGuilds. For everything else, including the legal framework, international transfers, security, breach notification and your rights in detail, the BotGG Privacy Policy applies and forms part of this policy.

1. Who is responsible

TopGuilds is operated from Israel under the trading name BotGG ("we", "us"), the same operator as https://botgg.app. For the data described in this policy, BotGG is the controller (in Israeli terms, the "database owner"). The operator's full legal details are shown at checkout, on every invoice, and are given on written request where the law requires (see the BotGG Privacy Policy).

2. Summary

  • You can browse without an account. We set no cookies for visitors who do not sign in, and we use no analytics cookies, no advertising and no third-party trackers.
  • Images come from us. Server icons and banners are copied to our server and served from topguilds.net, so your browser does not connect to Discord or Imgur on public pages.
  • Signing in is only for server owners and voters, with Discord. We read your basic Discord profile and the list of servers you can manage. We never read your messages.
  • Listings are public by your choice, and only after our staff approve them.
  • Reports are anonymous towards the server owner.
  • We do not sell personal data and do not share it for advertising.

3. Data we process

Visitors (everyone). When you open a page, your browser sends our server technical data that every website receives, such as your IP address, browser type and the page requested. We use it to deliver the page, to protect TopGuilds against abuse and overload, and for short-lived rate limits. Rate-limit records hold only a keyed hash, never the IP address itself, and are kept for at most 1 day. Web-server logs are handled as described in the BotGG Privacy Policy. If you save servers or use the accessibility toolbar, those choices stay in your browser and are never sent to us (see the Cookie Policy).

Signing in with Discord. When you sign in, Discord gives us, with the scopes identify and guilds:

  • your Discord user ID, username, global (display) name and avatar;
  • the list of your servers, from which we keep only the servers you own or where you have the "Manage Server" or "Administrator" permission.

We keep this, together with a security token against forged requests, in your session on our server. We also keep Discord's access token in that session, only to refresh the list of servers you can manage every 10 minutes; we use it for nothing else. We create or update your user record (ID, name and avatar) in the user table that TopGuilds shares with the BotGG console; that record is handled as described in the BotGG Privacy Policy. Before signing you in, we check that your account is not blocked from the BotGG service.

Listing a server. When you list a server, we process:

  • the listing you write: name, description, tags, languages, links, banner and invite;
  • the server's Discord ID, name and icon, and the member and online counts, which we fetch from Discord's public invite information and refresh regularly;
  • whether the BotGG bot is in the server;
  • the review status, the approved version and the history of changes;
  • your Discord user ID as the person who listed the server, and an audit-log entry for each action you take in the dashboard (for example submit, edit, bump or unlist).

The approved listing is public. It does not show your name; it shows what you wrote about the server.

Votes. For each vote we store your Discord user ID, the server, the time and where you voted (website or Discord). We use it to apply the voting rules (one vote per server every 12 hours, account at least 7 days old, at most 30 votes per hour) and to compute the ranking. To check the account age we use the creation date contained in your Discord user ID. Only the total number of votes is public.

Bumps. We record the time of the last bump for each server, and who bumped it.

Reports. When you report a listing, we store the server, the reason, the details you write and the time. To limit abuse (one open report per person and server, at most 5 reports per 10 minutes), we store a keyed hash derived from your Discord user ID if you are signed in, or from your IP address if you are not. We never store the IP address itself. If you are signed in, we also store your Discord user ID with the report, so our staff can handle follow-ups. The server owner is never told who reported the listing.

Moderation. Our staff decisions on listings and reports (approval, rejection, removal, bans, and the staff member who decided) are recorded in our staff audit log.

TopGuilds PRO. PRO is bought and billed through the BotGG console. The payment, subscription and invoice data are processed as described in the BotGG Privacy Policy. PayPal processes your payment as an independent controller. We never receive your card details.

4. Visit statistics (when available)

We plan to show server owners how their listings perform. When this feature is available, it will work without cookies and without storing IP addresses:

  • public pages send a small request (a "beacon") with the page type and server, and, on list pages, which servers were shown;
  • clicks on a server's "Join" button are counted on our server;
  • to count unique visitors per day, we compute a hash from a secret that changes every day, your IP address, your browser's user agent and the server. This hash is kept only in memory for that day and is never stored;
  • we derive your country from your IP address with a local GeoIP database (no external lookup), and keep only the host name of the page that referred you (for example "google.com"), your interface language and the search terms you entered in TopGuilds' own search;
  • if your browser sends "Do Not Track" or "Global Privacy Control", we count the view without any of these details;
  • known bots are excluded.

We store only aggregated counts per server per day (for example views, visitors, impressions, join clicks, countries and referrers), never data about an individual visit. These statistics are kept for 400 days. Server owners see only these aggregates. For servers that use the BotGG bot, PRO may also show aggregated join statistics computed from the server's BotGG Insights, as described in the BotGG Privacy Policy; these never identify individual members.

  • To provide TopGuilds and perform our agreement with you (GDPR Art. 6(1)(b)): sign-in, sessions, listings, votes, bumps, the dashboard and PRO.
  • Our legitimate interests (GDPR Art. 6(1)(f)): reviewing and moderating listings, handling reports, preventing abuse and vote manipulation, securing TopGuilds, computing a fair ranking, and producing aggregated statistics for server owners. We have balanced these interests against yours and have chosen methods that keep the data minimal (hashes, aggregates, no cookies for statistics).
  • Legal obligations (GDPR Art. 6(1)(c)): billing and tax records, and responding to lawful requests.

Under Israeli law, providing the data is not a legal obligation. Without the sign-in data you cannot list a server, vote or bump, but you can still browse.

6. Who receives data

  • The public: approved listings, vote totals and ranking positions.
  • Discord, which provides sign-in, invite information and the bot commands, under its own privacy policy. Signing in takes you to discord.com. In the signed-in dashboard, the icons of your own servers are loaded from Discord's servers (cdn.discordapp.com).
  • PayPal, for PRO payments through the BotGG console, as an independent controller.
  • Our hosting provider and other BotGG sub-processors, which host TopGuilds on the same infrastructure as BotGG. See the BotGG sub-processors list.
  • Authorities, courts and advisers, and a buyer or successor, in the cases described in the BotGG Privacy Policy.

We do not sell personal data and do not share it for cross-context behavioural advertising.

7. International transfers

TopGuilds runs on the same servers as BotGG. Where our servers are, and how transfers to recipients in other countries (for example Discord and PayPal in the United States) are protected, is described in the BotGG Privacy Policy.

8. How long we keep data

  • Session: up to 7 days, or until you log out (logging out deletes it from our server).
  • Votes: 60 days, then deleted. The ranking uses only the last 30 days.
  • Rate-limit records: at most 1 day.
  • Listings: while the server is listed. After you unlist a server that is listed without the BotGG bot, its data (including the listing) is deleted 30 days later. For a server that uses the BotGG bot, the listing data stays with the server's other BotGG data and follows the BotGG retention rules (it is deleted 30 days after the bot is removed).
  • Copies of icons and banners: only as long as they are needed for a listing.
  • Visit statistics (when available): 400 days, as aggregates only.
  • Reports and the staff audit log: as described in the BotGG Privacy Policy.
  • Your user record, and billing records for PRO: as described in the BotGG Privacy Policy.

Deleted data may remain in our database backups for a short time, as described in the BotGG Privacy Policy.

9. Security

TopGuilds uses the security measures described in the BotGG Privacy Policy, including HTTPS, HttpOnly and Secure session cookies, protection against forged sign-in callbacks and forged form submissions, input validation and rate limits. TopGuilds connects to the shared database with its own restricted database account, which has no access to billing data, bot tokens or other BotGG features.

10. Children

Discord requires users to be at least 13 years old, or older in some countries. TopGuilds is not directed at children under 13, and we do not knowingly collect their data. If you believe a child's data is being processed, contact info@botgg.app and we will delete it.

11. Your rights

Depending on where you live, you may have the right to access, correct or delete your data, to restrict or object to processing (including processing based on our legitimate interests), to data portability, and to lodge a complaint with a supervisory authority: in Israel, the Privacy Protection Authority; in the EU or UK, the authority where you live or work.

To use your rights, email info@botgg.app with your Discord user ID or username and what you want. We verify that the request comes from the account holder and reply as described in section 11 of the BotGG Privacy Policy. You can also delete some data yourself: unlist your server from the dashboard, log out to end your session, and clear your browser storage to remove saved servers and preferences.

12. Changes

We will publish updates on this page with a new version number and date. For material changes, we will tell you in advance on TopGuilds or in the dashboard.
